Keep proof that it arrived

A notice you cannot show was received is a notice the other side can deny. Send by the contractual route, keep the transmission record, and where anything important travels by hand or post, get a signature or follow it with an email confirming what was delivered and when. The proof of sending belongs in the same file as the notice.
