Give every record one named owner
A record everyone keeps is a record nobody keeps. The diary belongs to a named person, the registers to a named person, the photo routine to a named person, and each of them knows it. When ownership is shared, every gap is somebody else's, and the gaps only surface when the claim needs the missing month.
