Claim Preparation and Assembly

RemedialHourlyFor Subcontractors, Main Contractors & ClientsTimetable agreed in writing at scoping

We prepare your construction-cost claim, bringing the explanation, itemised sums, calculations and supporting records into one clear, checked package.

The problem

You may know what you want to claim and have records to support it, but still need someone to build the claim itself. The information may be spread across accounts, site records, correspondence and earlier drafts. We bring it together so each amount can be understood and checked. You can instruct this service directly where the work and available information are clear. A stress test is optional and may help where you first need a review of the position.

The solution

We agree the items to prepare, organise the evidence and build the explanation and calculations for each sum. We identify missing support, state assumptions and reconcile deductions, previous payments and amounts included elsewhere. Where loss and expense forms part of the work, we build the relevant cost items from the records and show the period and basis used. If a calculation depends on legal advice or time analysis, we identify the input needed and use the appropriate adviser's conclusions. We check and explain the completed package, then deliver it in the agreed format. Submission to another party, further revisions, negotiation and formal proceedings follow the authority and scope agreed in writing.

The current Service Pack includes the Claim Assembly Register alongside the retained working files: Evidence Register, Information and Assumptions Register, Work Record, Cost Allocation, Labour Allocation, Quantum Build-Up Model, Prolongation and Thickening Build-Ups, Prelims Thickening Calculator, Head Office Overheads Sheet, Double Recovery Check, Loss and Expense Heads of Claim Template, Claim Preparation Report and What To Ask For. These are working files to support the agreed package, not a promise of entitlement or a substitute for legal, delay or programme advice.

How it works

  1. We clear conflicts and scope the package

We check the parties and project against existing commitments, then agree the purpose, position you want to put forward, available records, format and authority boundary in writing.

    Scope and Authority Confirmed

The package, its intended recipient and the authority needed for any outward issue are recorded before assembly starts.

  2. You share the available records and position

You share the available records and the agreed basis of the claim as they stand, including partial or unreliable evidence and gaps. Exact input requirements for this scope are agreed before work starts, including any records still to be provided.

    • A

Written instruction, instructing party, heads to prepare, intended use and recipient, output requirements and included revision round

      Essential

Without it: Scope and reliance cannot be fixed

Where to find it: Client decision-maker and appointment

Why we need it: Define the package and permitted role

Quality: Send the actual held version, source and date, and identify anything incomplete or only assumed.

    • B

Executed contract or order, amendments, pricing documents and the valuation basis relied on

      Essential

Without it: A contract-based claim cannot be presented as verified

Where to find it: Client contract records and solicitor

Why we need it: Apply the actual valuation provisions and attribute dependencies

Quality: Send the actual held version, source and date, and identify anything incomplete or only assumed.

    • C

Events, instructions, proposed claim heads and the client's account of what happened

      Essential

Without it: The claim would be a total without an identified basis

Where to find it: Client and project records

Why we need it: Connect the money to the matters claimed

Quality: Send the actual held version, source and date, and identify anything incomplete or only assumed.

    • D

Job cost ledger, invoices, payroll, plant records, timesheets, allocations, tender build-ups and source rates relevant to each head

      Essential

Without it: Unsupported sums cannot be claimed as evidenced cost

Where to find it: Accounts, commercial and site teams

Why we need it: Build and verify the costs and valuation inputs

Quality: Send the actual held version, source and date, and identify anything incomplete or only assumed.

    • E

Instructions, drawings, measured quantities, valuation records and evidence of work done, where relevant

      Important

Without it: Quantities and instructions may remain unverified

Where to find it: Project team and document records

Why we need it: Build direct valuation and link it to the actual change or work

Quality: Send the actual held version, source and date, and identify anything incomplete or only assumed.

    • F

Attributed legal position and time analysis or period for heads relying on them, with source, status and date

      Important

Without it: Dependent heads remain conditional or cannot be built

Where to find it: Client solicitor and competent time specialist

Why we need it: Separate specialist conclusions from the money calculation

Quality: Send the actual held version, source and date, and identify anything incomplete or only assumed.

    • G

Payment applications, assessments, certified or agreed amounts, payments, retentions, credits, earlier settlements and overlapping claims, or explicit confirmation of none

      Essential

Without it: The total may repeat money already valued, paid or resolved

Where to find it: Project accounts and correspondence

Why we need it: Reconcile the claim to the complete account and avoid duplication

Quality: Send the actual held version, source and date, and identify anything incomplete or only assumed.

    • H

Existing drafts or submitted versions, other advisers' work, responses, concessions and changes, or confirmation of none

      Essential

Without it: A new package could conflict with what has already been said

Where to find it: Client and existing advisers

Why we need it: Preserve the actual position and explain changes

Quality: Send the actual held version, source and date, and identify anything incomplete or only assumed.

Without it: Readiness for the intended purpose cannot be confirmed

Where to find it: Client, solicitor and procedural documents

Why we need it: Plan delivery and protect urgent action

Quality: Send the actual held version, source and date, and identify anything incomplete or only assumed.

Copies are fine. Send what you have and we will tell you what's missing.

  3. We organise the record and evidence index

We sort the available records against the agreed basis, identify the supporting evidence for each material item and state what is missing, conditional or still to be confirmed.

    Evidence Index Checked

Each material item has an identifiable supporting record, stated gap or stated assumption before the package is drafted.

  4. We assemble the claim package

We bring the narrative, itemised claim, construction-cost calculations, records and evidence index together, with assumptions and gaps visible. We prepare prolongation costs without performing delay analysis. Legal or timing positions remain with the appropriate adviser.

  5. You confirm the agreed package

You or your instructed representative review and confirm the package, identify any legal or time position for the appropriate adviser, and confirm the authority for delivery. Additional revisions are outside this scope unless separately agreed.

  6. We check and explain the package

We check the agreed package, explain how it fits together and confirm the delivery format. We confirm your authority before making any submission to another party.

    Delivery Authority Recorded

The package is checked and explained, with the authority for any outward submission recorded before delivery.

We deliver the checked claim package

See the full outcome in What you get.

What you get

A checked claim package containing the explanation, itemised sums, calculations, supporting records and evidence index, with assumptions and unresolved gaps clearly stated. We explain how the package fits together and what needs to happen next. The agreed work is complete when that package has been checked, explained and delivered. No particular agreement, payment or recovery is guaranteed. Any further work is agreed separately.

The Handover Pack accompanies the work with its dates and sources, likely outcomes and responses, scope boundaries and ready-to-send correspondence where needed.

The fee and timetable are agreed in writing after the evidence and scope have been reviewed.

We will agree the timetable in writing when we scope the work. We will confirm the start and target dates once we have the information needed for the agreed work. If something is missing or unusable, we will explain the options and agree any change before starting. We will confirm your target date.

Where the turnaround is stated in working days, the confirmed start day is day zero.

The turnaround ends when we issue the agreed deliverable and its supporting handover documents.

Tell us about any live deadline straight away. Contractual or statutory deadlines continue to run while information is being gathered.

We will confirm the target date for your agreed work.
