Read your own files the way the other side would
Once a year, take one live job and read its records as an opposing surveyor would: every instruction checked for something in writing behind it, every notice checked against its contractual window, every variation checked for substantiation that would survive scrutiny. Write down what fails and roughly what it is worth. The exercise is uncomfortable, which is rather the point: the gaps are cheap to close while the job is running and the people are still on it, and expensive to explain after it has turned into a dispute.
