Twenty records, and where each one actually lives.

Map where your twenty key commercial records actually live, who owns them, and the gaps. One row per record, contract documents to closeout file, with what each should hold already written in. Fill the yellow columns for the system it lives in, the named owner, how often it is updated and whether it is up to date today, and the last column turns each gap into an action with a name against it.

How it works

Twenty records, prefilled

From the executed contract and the programme through applications, notices, variations, diaries, photos and tickets to the closeout file: each row already says what the record should hold, so a blank reads as a finding, not admin.

Five yellow columns per row

Where it lives, who owns it, how often it is updated, whether it is up to date, and the gap. If a row has no answer, that is the answer.

Gaps become actions

The sheet counts the rows answered No and the closing line is the method: fix the No rows with a named owner first.

An Excel template with no macros. Only the yellow cells can be edited, the Guide tab explains every step, and it prints on A4. Your contract's terms come first.
